General terms of participation 2024

By signing the registration form or sending an online registration the Exhibitor agrees to participate in the trade fair event and follow these general terms of participation as well as any supplemental terms and conditions or instructions given.

  1. Exhibitors and products

Exhibitors can be manufacturers, producers, sellers, or their authorised representatives, of products and services listed in the product groups of the event, as well as industrial organisations and specialist journals. Only the products and services approved by Expomark Oy (later “Organiser”) can be displayed. The Organiser has the right to remove other exhibits, as well as products and services that may endanger or disturb other exhibitors or the public.

  1. Exhibitor registration and cancellation of participation

A binding exhibitor registration is made by sending a registration form to the Organiser in paper or electronic format. After receiving the Exhibitor’s registration, the Organiser approves it and confirms it to the Exhibitor in paper or electronic format. The Organiser has the right to reject a registration.

The Organiser also has the right, at its sole discretion, to cancel its approval prior to or during the event, terminate the agreement and return any payments already made, if the Exhibitor or their employees, owners or other related bodies have acted contrary to law or fair practice or if the Organiser believes that their participation in the trade fair could cause disruption or danger to trade fair visitors or other exhibitors. In such a case, the Exhibitor is not entitled to any compensation other than a refund of payments from the Organiser. The Exhibitor has no right to sublet or transfer their stand or part of it to a third party without a prior written consent of the Organiser.

  1. Retail sale and serving of food and alcoholic beverages

As a rule, retail sale is allowed during the event unless forbidden in these terms or otherwise. Products must not be stored in a visible place at the stand.

Specifically designated restaurants have exclusive rights to restaurant activities in the event venue. The Exhibitor, however, has the right to offer tasting of food and non-alcoholic beverages at their stand as long as it is free of charge. Selling takeaway food is also allowed. Selling food and drinks for consuming in situ is forbidden unless otherwise expressly agreed in advance between the parties. In restaurant and food sector events, the terms and conditions specifically agreed for each event are followed. The Exhibitor is responsible for preparing and following a self-monitoring plan and filing any notifications / applying for permits required by the Food Act, as well as meeting any other requirements. Serving alcoholic beverages is forbidden in all forms unless otherwise expressly agreed in advance between the parties.

  1. Positioning of trade fair stands

The Organiser determines the final location of stands taking into account the appropriate use of the halls, display-specific sector grouping and, as far as possible, exhibitors’ preferences. The Organiser has the right to increase or reduce the area reserved by the Exhibitor by max. 10% or change the stand location without consulting the Exhibitor in the case that the floor plan layout changes completely or partially from the original plan.

  1. Cancellation of registration or stand size reduction and return of the right to use the stand to the Organiser

5.1. The Exhibitor has the right to cancel their registration or reduce the size of the display space originally reserved within seven (7) days from the date of confirmation sent by the Organiser. Such a cancellation or change must be made in writing. If the Exhibitor cancels their registration or reduces the size of the display space later, the Organiser has the right to charge full participation fees in accordance with the confirmed registration. If registration has been made less than thirty (30) days before the start date of the event, the reservation is binding as of the registration date. These terms of cancellation and payment also apply to the entire stand solution booked during the registration.

5.2. The right to use the stand returns to the Organiser in the case that:

  1. the Exhibitor cancels their registration; or
  2. the Exhibitor fails to pay participation fees within the schedule defined in the terms of participation of the trade fair concerned; or
  3. the Exhibitor fails to take the stand into use by 12 noon at the latest on the day preceding the opening day, unless otherwise agreed; or
  4. the Exhibitor otherwise violates the terms of participation or supplemental information.

If the right to use the stand returns to the Organiser in accordance with this section 5.2, the Organiser is entitled to charge the full participation fee specified in the registration confirmed by the Organiser. In this case, the Organiser also has the right to sell the stand to another exhibitor or use it for other purposes.

  1. Stand mounting

The Exhibitor is responsible for the mounting, decoration, dismounting, removal, cleaning and waste management of their own stand. Any kind of suspension or fastening on the ceiling, pillar and wall constructions of the halls is forbidden. The price of the stand solution rented from the Organiser includes the mounting and dismounting of constructions included in the stand.

The Exhibitor is responsible for all works and supplies ordered by them to the stand, as well as for any other costs caused to the Organiser by their stand, including by their subcontractors or equivalent. The Organiser is entitled to charge for the services ordered by the Exhibitor prior to the event. The Organiser has the right to limit the size of the trade fair stand. The following always requires prior approval from the Organiser:

– Positioning of an exhibition item with the weight exceeding 1,000 kg or the length exceeding 2.5 m

– Structural or decorative solutions with the height exceeding 250 cm (a permit from the neighbouring stand owner is also required, if the item is placed within 1 metre or less from the border of the neighbouring stand).

– Building up of two-storey display constructions

The Exhibitor must apply for a written authorisation from the Organiser for the aforementioned items no later than 45 days prior to the trade fair event concerned.

  1. Display and dismanting of stands

The exhibitor must get the Organiser’s prior approval for the following:

– Display of names of all other than the Exhibitor, their agents and representatives at the trade fair stand. For such a display, a registration fee or a visibility and environmental fee or the lowest participation fee is charged except in the case of a shared stand agreed with the Organiser during the registration or unless otherwise agreed in the terms of participation of the trade fair concerned.

– Distribution of products and marketing material other than those owned by the Exhibitor and all distribution and other activities outside the borders of the Exhibitor’s own stand.

– Stands must not be emptied or dismantled before the start of the official dismounting time. The Organiser informs the official dismantling time separately for each trade fair event. An exhibitor, who violates the aforementioned stipulation, is liable to pay a penalty of thousand (1,000) Euros to the Organiser. If the Exhibitor fails to dismantle their stand within the indicated dismantling times, the Organiser has the right to dismantle the stand on behalf of the Exhibitor and charge related dismantling and storage costs to the Exhibitor.

  1. Damage and insurance

The Exhibitor is liable for all damage caused by breakage, theft, etc. to constructions, equipment and exhibits or other similar property at their stand. The Exhibitor is liable for all personal, material and other damage caused by the constructions, equipment, exhibits and activities at their stand and by their subcontractors that may be caused to third parties (such as trade fair visitors or other exhibitors), the Organiser, trade fair buildings and/or the trade fair area. The Exhibitor is responsible for taking out appropriate personal, property, vehicle and third party liability insurance policies. The Organiser is responsible for any damage that may be caused to exhibitors or third parties by the actions of its own personnel and equipment and buildings of the Organiser.

  1. Electricity and electrical works

The Organiser is responsible for the general illumination in the area. The Exhibitor must place an order with the Organiser for electric current required at their stand, including any necessary installation work. The Exhibitor is responsible for the electrical equipment that they bring to the stand. Electrical installations in the Organiser’s premises are carried out by an electrical contractor authorised by the Organiser. The Organiser is not liable for any damage caused by a power failure.

  1. Water and compressed air

The Exhibitor must order any necessary work related to water, drainage and compressed air from an installation firm, selected by the Organiser, who will perform HVAC connections. Costs caused by work related to water, drainage and compressed air and consumption of water and compressed air are paid by the Exhibitor.

  1. Guarding, fire safety and security

The Organiser is responsible for fire monitoring and public order at the event venue. However, the Organiser disclaims all liability for possible damage or loss of goods, constructions, etc. of the Exhibitor. As regards fire safety and constructions and materials of the trade fair stand, in addition to applicable laws and regulations, the safety instructions of the event must be followed. The Exhibitor must apply for a prior permit from the police or fire safety authority for any constructions, equipment or presentations that may be subject to authorisation. When presenting machines or other technical equipment, in addition to the Occupational Safety and Health Act and Regulations, the safety instructions of the event must be followed.

  1. Demonstrations

The Exhibitor is responsible for the appropriate prior inspection of films, videos, other visual programmes and recordings before their public performance in the Organiser’s premises, as well as for licences and fees required by the copyright law regarding musical and other performances at their stand. The Organiser pays Teosto and Gramex fees on behalf of exhibitors. Performances must not disturb neighbouring stands.

  1. ID cards and invitations

The Exhibitor’s stand personnel and subcontractors must visibly wear ID cards provided by the Organiser during the preparation and dismatling works and trade fair opening hours. The Exhibitor has no right to sell event invitation cards or access cards further.

  1. Delivery and collection of goods

For each delivery, a person must be present on site to receive and check the delivery. If the Exhibitor’s personnel is not available, the Organiser’s logistics partner takes control of the delivery and delivers it to the stand indicated in the delivery document as a chargeable service in accordance with its current pricelist. The same applies to deliveries returned after the trade fair.

  1. Force majeure

The Organiser has the right to cancel the trade fair or reschedule it, if the trade fair cannot be organised at the agreed time due to a force majeure circumstance. The Organiser takes no liability for any delays, harm or damage caused by a cancellation or postponement of the trade fair because of a force majeure circumstance. The Exhibitor is not released from its obligations and is not entitled to a refund of any fees paid, if the Organiser postpones the event to a new date because of a force majeure circumstance. The due date of any unpaid payments will be postponed correspondingly. An event beyond the control of the Organiser, which the Organiser cannot have reasonably taken into account at the time of signing the contract and the consequences of which the Organiser could not reasonably have avoided or overcome, is considered a force majeure case. The following, for example, are considered to constitute force majeure: interruption of general energy production, fire or other similar event preventing the use of trade fair premises, a natural catastrophe, earthquake, war or riot, a pandemic or a state of emergency or other reason that may endanger the safety of trade fair participants and/or exhibitors. A strike, lockout, boycott and other industrial action also constitute a force majeure circumstance when the Organiser is the target of or involved in such an action. A force majeure event suffered by a subcontractor of the Organiser is also considered a reason for release of obligations.

  1. Other terms and conditions

The currently applicable value added tax is added to prices specified by the Organiser. Expomark sends invoices to foreign exhibitors without VAT provided that the exhibitor has presented their VAT number during registration. If a company does not have a VAT number or the VAT number has not been indicated, invoices are sent including VAT according to the Finnish tax rate. Interest on delayed payment is 16%.

In case of difference of opinion, the Finnish terms of participation apply. Any disputes between the parties that cannot be solved via negotiations will be settled as the first instance in the Helsinki District Court. The applicable law is the law of Finland.

4. Legal basis and purpose of processing personal data

The basis for processing personal data is the consent of the person – in this case, a visitor to an event – granted in conjunction with registration, as well as the controller’s justified benefit.

Personal data is processed in order to calculate and compile statistics on visitor numbers, and it is used as the basis for analysis that benefits the business. Data is collected in order to calculate the official number of visitors and to develop events. Data is used for marketing in conventional forms, as well as in electronic and text message form. By providing a mobile phone number, the customer is granting consent for direct marketing messages to be sent to the mobile phone number.

If the data subject’s data is not entered properly, the registration may be invalidated as the controller cannot in such cases commit itself to a contract between the controller and the data subject in relation to the attendance.

5. Contents of the data file

The person’s name, position, company/organisation, role in making purchasing decisions, contact details (phone number, email address, address), customer number, information about services ordered and related service provision and invoicing. In addition, the saved data may also include website addresses, the IP address of the internet connection, location data and information about the use of online tickets, IDs/profiles on social media services, other information about services ordered and changes therein, location data, information about visits to the events, and other profiling data provided by the customer.

6. Regular sources of data

The data stored in the file comes from electronic visitor registration for events. Electronic visitor registration refers to advance registration (the visitor registers for the event on the internet before the event takes place or before arriving at the event) and/or on-site registration (the visitor registers for the event at the registration point at the entrance). Customer data may also be obtained from parties that disclose it for the controller’s use as part of an agreement. Such parties include event clients. In such cases, the party disclosing the data is responsible for ensuring that the disclosed file is accurate, up-to-date and compliant with the GDPR requirements.

7. Regular disclosure of data and the transfer of data outside the EU or the European Economic Area

We may transfer or disclose personal data to our partners if this is necessary for purposes corresponding to this privacy statement. Such partners include exhibition clients, partners, “lead collection systems” (devices that read contact details), and the electronic meeting and networking service that operates at events. In addition, data may be disclosed to marketing partners, such as the partner that provides the newsletter tool, or media agencies, IT providers or other partners of Expomark. Data may also be disclosed to exhibitors if the visitor has granted consent for this. In such circumstances, personal data is processed in accordance with applicable legislation.

We may also use third-party service providers, such as providers of payment services, debt collection services and analytic services, to conduct certain tasks involving processing personal data on our behalf.

We may also transfer or disclose personal data to other companies within our Group and to the successor business as a consequence of matters such as merger and acquisition transactions, the sale of the business, mergers, demergers, bankruptcy or receivership.

We will not otherwise sell or disclose your data to external parties. We will also not transfer data outside the EEA other than in circumstances permitted by data protection legislation. Personal data may also be transferred or disclosed to the authorities if the applicable law so demands.

8. Principles for securing the file

Due care is exercised when the file is processed, and data processed using IT systems is protected appropriately. When data from the file is stored on internet servers, the physical and digital information security of the hardware is arranged appropriately. The controller takes care to ensure that the saved data, server access rights and other information critical to the security of personal data is processed confidentially and only by the employees or partners whose duties require it.

Employees who process data in the customer file are bound by a duty of confidentiality. Data is communicated or disclosed to third parties only if there is a duty of notification prescribed by law, such as the customer’s own request or a statutory request made by the authorities. The system is protected by technical means.

9. Your rights as a data subject

Right of inspection

Expomark offers you the right to inspect the personal data that we process about you. You can contact us in writing and ask us to tell you which personal data we process about you and the grounds for processing the data. Expomark is entitled to verify the identity of the enquirer. If less than 12 months has elapsed since your previous information request, we may require a fee to be paid for the work involved in realising the request.

Right to demand correction of data

You are also entitled to correct or supplement data that is incorrect, inaccurate, incomplete, out of date or unnecessary.

Right to demand erasure of data

You may also ask us to erase your personal data from our system. We will take the action you request unless we have a justified reason to refrain from erasing the data, such as fulfilling our obligations under legislation. The data may not be immediately erased from all of our backup systems or corresponding systems.

Right of objection

You may also request restrictions on the processing of your personal data if the data is processed for purposes other than providing our services or fulfilling obligations arising under law. You may also object to your personal data being processed in the future, even if the processing is based on consent that you have previously granted. Objecting to the processing of personal data may result in more restricted opportunities to use our website and services.

First register as a user if you do not already have a username and password for the service. After registration you can log in, place orders and take care of matters connected to your participation in an event.

Your email address serves as your eShop username. Decide on your password for yourself. If your password has been lost or forgotten, you can request a new password via the Forgotten Password? function.

You may freely explore our range of fairs and events, stand solutions, services and price list without login, too. You can also purchase participation in an event without logging in.

Log into the eShop service and on the Your Registrations page choose the desired event. This takes you to the event workspace. Orders related to the stand can be viewed on the Stand Info page.

Permits and security

According to Finland’s alcohol licensing legislation the sale and serving of alcoholic beverages is always subject to license and monitored. Any seller of alcoholic beverages must have the appropriate license issued by the regional state administrative authority. At Expomark’s events this license is held by the event’s restaurateur. The alcohol act prohibits exhibitors bringing their own or sponsored alcoholic drinks to events.

Serving and tasting foodstuffs as well as sales of packaged food products is permitted on event stands. Please check any possible event-specific limitations on foodstuff tasting with our customer service. Sales of foodstuffs must not compete with the products offered by restaurant partners. Coffee can be served on the stand but not sold.

If you are serving or selling foodstuffs on your stand, notification of this must be given well in advance of the event to the regional office of the Finnish Ministry of Environment in the city concerned. If you are serving just small amounts of sweets, potato crisps or coffee on your stand, no notification needs to be given.

Balloons containing gas cannot be handed out at all event locations. Typical balloons inflated with air – on a stick, for instance – are permitted. Check that balloons containing gas are permitted right at the planning stage.

Exhibitors are obliged to provide customers paying cash or using a charge card with a receipt. The receipt may be printed, written by hand or electronic. See Vero.fi >>

Music must not cause disturbance to neighbouring stand. The limit on volume is 75 dB. Please note any event-specific limitations.

Exhibitors are responsible for proper preliminary examination (e.g. age limits) of films, videos, other audiovisual material and recordings as well as permits and royalties as required by copyright legislation for music and similar works used on the stand.

Expomark handles payment on behalf of exhibitors of Teosto and Gramex royalties incurred at its events. Performers of live music must supply Teosto with a statement of the musical compositions performed and their authors as well as take care of any Teosto payments incurred. Remind performers at your event of this obligation.

If your stand features demonstrations of work, the area for this must be monitored and clearly delimited.  If so-called hot work is involved which carries the risk of fire, the work demonstration area must meet the requirements for a regular hot work location. Always discuss the organisation of work demonstrations in advance with Expomark’s representatives. Demonstrations of work should be carefully considered right at the planning stage and in many cases this also has an influence on where the stand is situated.

Handling dangerous goods and storing these on the stand requires the appropriate license. Please contact Expomark’s staff regarding event-specific guidelines.

Expomark is responsible for the general security of its events, such as access control and customer safety. We check the security of each event before the start of the same and conduct close cooperation with the authorities. Our liability insurance covers the actions of Expomark staff, equipment and buildings against damages caused to a third party.

Our customers are responsible for their own stands, products and the safety of their stand’s structures. The event constructors are responsible for the construction safety of any stand they have built as regards damage to both property and persons. Safety can be easily improved by making small choices. Please ensure you have the appropriate insurance. Do not leave items of value lying around at the end of the day. The risk of theft is at is greatest during the first minutes after the event day comes to an end. Consider whether you need extra equipment such as showcases, locking, security tethers, guarding or storage services.

Please note that the event area is not a safe place for children during building and tearing down.

Should an accident occur, act as follows:

  • notify the Event Office of the accident or damage
  • prevent further damage or injury from occurring
  • in case of theft, break-in or vandalism inform the police
  • file a damage report with the insurance company

Designing the stand

At events arranged by Expomark each stand must have structures separating it from the neighbouring stand or stands, unless event-specific instructions to the contrary are given. The stand must be presentable in all directions, so that from a visitor perspective it looks neat and tidy. The walls of the neighbouring stand must not be used to hang decorations or posters nor must they be used to support structures on your stand.

The standard height of stand structures is 250 cm. At many events a charge is made for the extra visibility provided by higher structures. Raised floors and suspended elements give your stand impact and appeal.

At each event Expomark is partnered with an expert team of builders. Through Expomark it is possible to purchase ready-made stand packages. Alternatively, a quotation for design of your stand can be requested separately from the event builders.

Spaces between stands or between the stand and the wall of the exhibition hall may not be used for storage for reasons of fire safety. Should you need storage space this can be designed into the stand or, if goods are not needed on the stand, it may be possible to arrange separate storage space for the duration of the event – please enquire.

A stand can be decorated in a multitude of ways: with photo prints, taping, banders, claddings and panels, carpeting and greenery. It pays to explore the options offered by Expomark’s service partners. Furnishings can be rented from our stand building partners or brought with you.

All goods, moving images projected onto walls or ceilings as well as distribution of brochures or product samples must remain within the boundaries of your stand. Distribution of gas-filled balloons is not permitted in all event locations, so this is something to check on in advance.

Suspension elements must be ordered from Expomark’s service partners. In the event halls suspended elements are installed by just one operator. Please ask for guidelines and more detailed information about the event in question.

All structures that exceed the standard height of 2,5 meters must be situated at least 1 meter from the neighbouring stand. Exceptions to this are possible only if agreed with the neighbouring stand concerned, preferably in writing. This guideline does not apply to exhibits.

At some events a charge is made for additional advertising space. All structures and decorations that exceed the standard height of 2,5 metres can be considered additional advertising space. Enquire about charges for additional advertising space at the event in which you are participating.

Please check on available data networks in the event information. The practice varies according to where the event is held. A wireless open network is not available in all locations, but well-functioning network connections can be arranged at all events.

Expomark’s service partner offers a specialist service where the provision of necessary audiovisual equipment and lighting is concerned. Stands can be equipped with monitors, audio systems, different kinds of projection techniques and even large screens. Lighting, too, gives your stand extra appeal and here as well various solutions are available. Do get in touch with the event’s AV partner.

Power connections are always ordered from the event’s service partner; there is only one operator per event that handles electrical work. In the majority of cases a basic power connection is included in the basic package. Make sure that your order includes the necessary power connection. If you require night electricity on your stand in order to power technical devices or a refrigerator, for example, remember to order a 24hr connection to make sure there is no interruption at night. If you also need power after the event has closed, it pays to give advance notification of this.

Stand-specific electrics are fitted in accordance with the order placed and installation drawings. Event-specific guidelines explain in greater detail how to order power connections.

In the case of water, drain and compressed air connections there must be a floor outlet on your stand or close to it. Should you require HVAC connections, please state this when reserving your stand position. The location and availability of floor outlets varies from hall to hall. At events Expomark has its own HVAC partner through whom all work of this kind is handled.

Construction, event and dismantling phases

Delivery of goods to the event location in advance is possible for a limited period of time. Check when goods should be delivered as well as the correct delivery address in the guidelines relating to the event in question.

When delivering goods to the stand using your own carrier, forwarder or courier service, it is a good idea for the recipient to be on the stand to sign for the delivery. Neither the organiser nor staff at the event venue can acknowledge receipt of a consignment on your behalf.

At the majority of events delivery of goods can also be agreed with the event’s logistics partner.

During the construction phase goods may be delivered straight to the stand via service doors that are open. During construction access to the event area is only possible with a constructor or exhibitor permit.

Stand construction, dismantling and service times as well as the service doors in use can be found in the event guidelines. At all times access to the event area is only possible with a pass or constructor/exhibitor permit.

The company’s contact person can send passes to those requiring them by email or as a text message from eShop service. Recipients can print their passes in advance or in the Event Office at the venue itself.

The Event Office provides exhibitors with assistance at all Expomark events. Opening times and contact information can found in the event guidelines.

At event venues there is always a restaurant partner from whom lunch and coffee vouchers can be purchased in advance as well as anything you may wish to serve on your stand.

At many event venues there is also a break room or club available to exhibitors, in other words a quiet space where you can enjoy a cup of coffee or perhaps catch up with the day’s email.

Cleaning, electrical, construction and other services are covered in the Designing the stand section and more detailed information on these can always be found in the guidelines for the event concerned.

Dismantling does not begin until the event has closed. The terms of participation in the event lay out possible penalties for tearing down before the event has finished. The timetable for dismantling as well as other important information can be found in the event guidelines. The dismantling phase extends most commonly until the evening of the following day. Possible despatches of goods must be agreed in advance. Collection at a later juncture depends on the event venue, so it pays to check on this, too, ahead of time.

In the assistive technology branch it is truly important, I feel, that both users of assistive technology and those who make decisions on purchasing the same have the chance to see and try out different options. New solutions are constantly coming onto the market which deserve to get visibility in order for the sector as a whole to move forward.

Apuvälinemessut – Assistive Technology is the biggest event in its field in Finland and it is the place to meet old acquaintances, build networks and possibly take part in different seminars and training sessions. I am delighted to see that quite many of our member associations organise full-day excursions to the event. For the associations it is one of the year’s high points.

Invalidiliitto – the Finnish Association of People with Physical Disabilities and Expomark have staged Assistive Technology together since the very beginning back in 1988 and I personally have experience of this cooperation covering twenty years or so. In particular I value Expomark’s wide-ranging expertise and excellent continuous dialogue when events are being planned and arranged. In my opinion active listening to partners is one of Expomark’s strengths. In the event industry the ability to operate flexibly is also important because situations may change rapidly. 4. Legal basis and purpose of processing personal data

The legal basis for processing personal data in accordance with the EU General Data Protection Regulation is the controller’s justified interest (e.g., customer relationship, employment relationship, membership).

The purpose of processing personal data is to maintain contact with customers, maintain customer relationships, conduct marketing and profile customer data for sales and statistical purposes, as well as creating data that is essential for the business.

The data saved in the file is: the person’s name, position, company/organisation, contact details (phone number, email address, address), customer number, website addresses, IP address of the internet connection, IDs/profiles on social media services, location data, behaviour data, profiling data, information about services ordered and changes therein, invoicing information and other information related to the customer relationship and services ordered.

The data saved in the file is obtained when a potential customer relationship arises, an actual customer relationship is created and during the customer relationship by means of notifications made by the customer to the controller. Contact details and customer data may also be collected during various marketing campaigns. The data saved in the file is obtained from the customer by means such as messages sent via online forms, email, phone, social media services, contracts, customer meetings, complaints and other situations in which the customer discloses its data. Direct marketing restrictions are saved on the basis of a separate notification made by the customer. Customer data may also be obtained from parties that disclose it for the controller’s use as part of an agreement. Such parties include event clients. In such cases, the party disclosing the data is responsible for ensuring that the disclosed file is accurate, up-to-date and compliant with the GDPR requirements.

7. Regular disclosure of data and transfer of data outside the EU or the EEA

We may transfer or disclose personal data to our partners if this is necessary for purposes corresponding to this privacy statement. Such partners may include marketing partners, IT partners and others. In such circumstances, personal data is processed in accordance with applicable legislation.

We may also use third-party service providers, such as providers of payment services, debt collection services and analytics services, to conduct certain tasks involving processing personal data on our behalf.

We may also transfer or disclose personal data to other companies within our Group and to the successor business as a consequence of matters such as merger and acquisition transactions, the sale of the business, mergers, demergers, bankruptcy or receivership.

information critical to the security of personal data is processed confidentially and only by the employees whose duties require it.

Right of inspection

Expomark offers you the right to inspect the personal data that we process about you. You can contact us in writing and ask us to tell you which personal data we process about you and the grounds for processing the data. Expomark is entitled to verify the identity of the enquirer. If less than 12 months has elapsed since your previous information request, we may require a fee to be paid for the work involved in realising the request.

Right to demand correction of data

You are also entitled to correct or supplement data that is incorrect, inaccurate, incomplete, out of date or unnecessary.

Right to demand erasure of data

You may also ask us to erase your personal data from our system. We will take the action you request unless we have a justified reason to refrain from erasing the data, such as fulfilling our obligations under legislation. The data may not be immediately erased from all of our backup systems or corresponding systems.

You may also request restrictions on the processing of your personal data if the data is processed for purposes other than providing our services or fulfilling obligations arising under law. Choose your stand constructor wisely – prioritize recyclable or reusable structures. If you participate in fairs regularly, custom reusable structures can be an eco-friendly option. Check out our recommended constructors on the event website.

📲 Embrace digital solutions

Replace printed brochures and materials with digital alternatives wherever possible, such as displays and QR codes. Even contests and other activities can be digital, reducing paper waste.

Recycle responsibly

Ensure proper waste sorting at the event and ask your stand construstor to do the same. For larger waste, arrange for the constructor to take them away for recycling.

Use eco-friendly transportation to the event, such as free fair buses. Choose plant-based food options, support local services, and always bring your own water bottle to reduce single-use plastic.

The Expomark story

Building a better future for specialist fields

Since 1988 Expomark’s goal has been to bring together industry and healthcare professionals at trade fairs and events in order to build a better future for their specialist fields. Together with leading actors in their respective industries we create the foundations for pivotal encounters in the course of which solutions that propel Finnish business forward can be put together. We plan all our events in cooperation with professional associations and experts in the fields concerned.

Cooperation, growth and development

Cooperation with our founder members, Kunnossapitoyhdistys Promaint ry – the Finnish Maintenance Society and Invalidiliitto ry – the Finnish Association of People with Physical Disabilities has been close throughout the years. We still arrange maintenance industry events with Promaint and Assistive Technology events with Invalidiliitto. Expomark has been part of Suomen Messut – Finnish Fair Corporation since 2005.

In the early 1990s professional gatherings dedicated to facility service and assistive technology were joined by Energia – Energy, Pohjoinen Teollisuus – Northern Industry and Hyvä Ikä – Good Age events. Affectionately known as ‘Pote’, Pohjoinen Teollisuus – Northern Industry is the only event in Expomark’s repertoire which, as the name suggests, focuses on a region rather than an industry. New additions include the Fysioterapia & Kuntoutus – Physiotherapy and Rehabilitation event, known in the trade as ‘Fyku’, which premiered in 2018, and Proforest, staged for the first time in 2021.

Industry, healthcare and the event sector itself have undergone huge changes over the last thirty years. Technology, automation, robotics, digitalisation and big data as well as changing values and attitudes have revolutionised operating environments across the board. People’s need to meet and develop the future together has, however, survived. Inspiring encounters serve to rekindle people’s excitement about their own field and meeting both colleagues and customers. Precisely for this reason we want to offer pivotal encounters.

Events throughout Finland

Our events take place all over Finland, in locations that are easy for people to reach. Nowadays our main events are held in Helsinki, Oulu, Tampere and Kalajoki. Our efficient team of approximately ten people organises events from our base in Jyväskylä. In total we stage 6–8 major events, all of which are held at two-year intervals.

Expomark personnel are united by an honest passion for themes we consider vital across industry and healthcare. We find promoting them meaningful and these sectors thoroughly deserve the events dedicated to them.
